FormHero is a Toronto-based company that provides smart form solutions that integrate into enterprise applications and processes to transform traditional paperwork and data collection into intuitive, accurate, and elegant experiences.

To date FormHero has raised $2 million in Venture Debt in October 2018 and is looking toward their Series A. When we started working with FormHero they were 41 people, with 2 people in the People and Culture org and entering a rapid growth phase having already doubled in size in 2020.

FormHero came to GuruLink primarily because they were looking to fill some Project Manager positions that had been open for several months.  In addition, they were looking to add a Solutions Development Manager and possibly a VP or Professional Services.

 

Solution

For this initial project FormHero opted for a Fractional On-Demand resource with the primary objective of filling the Project Manager position.  As a secondary focus, yet very critical role, they also asked us to look for Solutions Development Managers to lead their Solution Engineering team and to bring in more Agile processes and methodology to their project delivery for client implementations.

GuruLink worked closely with the internal talent team, the CEO and other key stakeholders to review and revise job descriptions, perform a compensation analysis and provide recommendations, and build a sourcing strategy.  We were responsible for managing all inbound applications directly within their ATS and were also responsible for building and executing the outbound campaign.

Over the course of the 8 weeks, we were able to fill both the Project Manager and Solutions Development Manager positions with very high-quality candidates.

 

Results

Over the course of the 8-week project we processed 860 inbound applications, sourced 257 candidates, conducted 39 candidate screening and received 2 offers presented with both of those offers being accepted

The cost per hire came in significantly under the projected amount at $6,567.19 saving FormHero over $41,000 in agency fees.

This project led to an immediate subsequent 12-week project to hire for 3 senior technical roles (Sr., Staff and Principal Back-end Engineers).

CTO.ai is a Vancouver based serverless infrastructure designed for the needs of fast-moving development teams who want to focus on delivering applications, not operations. They provide the basic building blocks which any team needs to build their own custom feeling developer PaaS, easily and without the cost of maintaining it.  

They were founded in 2017 and raised a seed round of $7.5M from the likes of Slack Fund, Yaletown Partners, and Panache Ventures. After their initial raise, CTO went into a high-growth mode and needed assistance with building a recruitment process and hiring some world-class talent. 

CTO.ai engaged GuruLink to help with this hiring and to build out some process and strategy to accommodate for this rapid growth. To help with their needs, GuruLink provided one full-time RPO recruiter who focused on building out a recruitment process, sourcing, recruitment, and closing for several roles over the course of the 7 month project.

 

Solution

As a relatively new company and at the time not yet well-known to the Vancouver market, GuruLink’s main objective was to help review their hiring plan, create a sourcing strategy, audit and build out a recruitment process, engage hiring managers, create job descriptions, maintain and manage their ATS, and educate the team on hiring and sourcing best practices. While doing this, we also provided sourcing and recruitment help on the various high priority job openings. 

GuruLink’s solution provided 40 hours per week of flexible on-demand full-cycle recruitment resources to generate qualified candidates for roles such as Backend Engineers, Frontend Engineers, Mobile Engineers, DevOps, and much more.

 

Results

Over the 7 months of GuruLink’s initial partnership with CTO.ai, we had 15 offers presented and 11 offers accepted. 

The cost per hire came in under the projected amount at $8,351.36 saving CTO.ai over $218,000 in agency fees.

Overview

Zapier is a well-known and highly respected company that really needs no introduction.  For the uninitiated, Zapier connects over 2000 applications allowing users to automate workflows. They are a SaaS-based company that helps anyone automate the most tedious parts of their day to day job. They have been running a remote operation for over nine years and have grown to 400 people while only having raised $2.7 million in total funding. 🙌

Zapier has a well-established and talented recruitment team. Still, with the high growth in 2020 and carrying into 2021, some additional support was needed for the top of funnel sourcing and recruiting. 

Zapier engaged GuruLink to help source and recruit for some critical hires to finish off the year and start building pipelines for their Q1 goals. GuruLink provided 40 hours as a full-time RPO recruiter and quickly helped build pipelines for several vital roles. The current engagement is ongoing while we help plan and scale for their 2021 growth.

 

Challenges & Requirements

  • Even though Zapier had a large and extremely well-organized talent team, the requirements of their hyper-growth during this year could not be sustained with the in-place team
  • A need for a group of both sourcing and full-cycle recruitment professionals to help facilitate multiple high priority roles for the organization

Solution

GuruLink is working closely with Zapier to accelerate hiring as quickly as possible for several key roles while maintaining the quality of candidates and helping the internal recruitment team focus on other important tasks and needs across the organization. 

Our solution was to provide flexible on-demand full-cycle recruitment resources to generate qualified candidates, initial reach-outs, and initial recruiter screenings. We worked on positions for them globally, including Australia

GuruLink deployed a team at 40 hours per week to provide a high-quality top of funnel to the internal recruitment team.

Overview

Kinetic Commerce is a retail tech and design firm with a mission to help retailers create the most seamless and compelling experiences possible for their customers and store associates.  They empower their clients to bring their digital and physical retail experiences together and give retailers a deeper understanding of their customers across their journey and empowers store associates to sell smarter, operate more efficiently and deliver superior service.  Kinetic’s business included 3 core pillars — Platform, Solutions and Labs — designed to empower retail agility and drive retail experience transformation from concept to scale. Their product suite included customer apps, store associate apps, virtual associate apps, booking management platform, interactive store displays, connected fitting rooms, Mall apps and more.

GuruLink had previously helped one of Kinetic Commerce’s Co-Founders scale his previous company from early stages up until their exit.  When Kinetic raised their first round of funding and needed to scale they called on us again to help build out and execute on their talent strategy.  We scaled Kinetic from 15 people when we started to almost 75.

 

Solution

Kinetic Commerce opted for an On-Demand + Contingency hybrid model.  On these models we play the role of an internal talent acquisition specialist as well as engage the entire team across Canada, the US and Mexico to help to deliver on the project.  This model typically makes the most sense on larger-scale projects and delivers savings over the cost of hiring an internal resource and using agency partners to supplement when needed.

We worked closely with the 3 Co-Founders and other stakeholders to help build out a hiring plan and heatmap and rank the planned hires as High, Medium, and Low difficulty. From there we planned and budgeted for what hires could likely be done organically and which would likely need external help.  We then modelled out a few different scenarios and project engagement models options for the client to choose from.

We had one of our team members embedded in their team with an email address, ATS access, and physically in the office 2 days per week who developed the sourcing strategy, managed all inbound activity (postings, referrals, events, etc.), created job descriptions, worked with the team to iterate and optimize processes, conducted phone and in-person interviews, scheduled and managed the entire process, negotiated and prepared offers.

In addition to scaling the team from 15 to nearly 75 people we helped Kinetic to hire a high-quality internal Recruiter/HR and transition things over to this resource while continuing to help on a contingency basis.

The projected cost per hire in this model was just over $8,700 per hire, and the end result was the cost per hire wound up about 5% below this.

 

Results

We were to successfully hire 58 people over the course of the 22-month project. The hires spanned VP of Engineering, Full Stack Engineers, DevOps, Mobile (iOS and Android) Engineers, Product Management, UX/UI design, and QA Engineersable to successfully deliver on all 47 hires in a span of just over 6 months.

The projected cost per hire was just over $8,700 and the final cost per hire came in at just over $8,300.

Kinetic saved over $200,000 in comparison to if 50% of those hires had been done via contingency search (their projected number).

KeepTruckin is a San Francisco based startup that focuses on bringing the trucking industry online and transforming the way freight is moved on our roads and how fleets are dispatched, managed and maintained. The company is valued at $1.4 Billion and has raised $228 Million to date. In early 2020, KeepTruckin decided to open an engineering office in Vancouver to take advantage of a new market and highly skilled candidates. 

KeepTruckin engaged GuruLink to help build the engineering team in their new Vancouver office as they had a limited network there. To help with hiring in their new office, GuruLink provided one full-time RPO recruiter who focused on several roles over a 40 hour week. GuruLink and KeepTruckin put together a plan that could save costs on new hires while engaging a full-cycle recruiter to help manage the various job pipelines. 

 

Solution

As a new tech company in Vancouver’s ecosystem. GuruLink’s goal was to hire exceptional talent and to build KeepTruckin’s brand in the Vancouver market. 

Our solution was to provide flexible on-demand full-cycle recruitment resources to generate qualified candidates for roles such as Site Reliability Engineers, Backend Engineers, Frontend Engineers, Android Engineers, and iOS Engineers. 

GuruLink provided multiple resources focusing on different areas at 40 hours per week and helped provide new and vetted quality candidates to the new roles for KeepTruckin’s Vancouver office.
